A month-end document checklist your team can actually complete

Prepare records for the same month and the same cutoff date. Assign a person to each evidence group and keep missing items on a visible list. Sending a folder is only the start; the totals and exceptions also need a check.

Collect the evidence by owner

Use one month label and preserve original invoice references. A shared index should show the document group, responsible person, date supplied and unresolved items. This makes it easier to distinguish a late document from a transaction that never occurred.

Check completeness before handover

Match the account list to the statements supplied. Confirm that opening and closing dates do not leave a gap. For invoices, investigate number gaps using void records rather than assuming every missing number is a sale.

Separate owner withdrawals, loans and transfers from ordinary revenue or expenses. Mark estimates clearly and do not create a receipt to fill a gap. The accountant needs the real exception, its amount and the person who can answer it.

Close the exceptions loop

Maintain an exceptions register with reference, question, owner, target date and resolution evidence. An item is complete when the document or explanation has been checked, not when someone says it was sent.

Keep an agreed snapshot of the final handover so later documents are visible as additions. This suggested workflow does not establish statutory record-retention periods.

Is this a statutory retention checklist?

No. It is an operational handover checklist. Applicable retention rules require a separate dated review.

What should I do with a missing receipt?

Record the amount, date, payment reference, business purpose and the person responsible for obtaining evidence. Keep it unresolved until the reviewer accepts the evidence.
